This position offers a motivated individual a unique opportunity to work across a broad range of legal matters supporting the Legal Department within BAE Systems Electronic Systems Sector.

The experienced Executive Assistant (EA) will support the Vice President of Legal and other Legal department staff. The EA primarily will be responsible for the day-to-day coordination of patent docketing, staff schedules, preparing presentations, making travel plans, submitting expense reports, and serving as the backup EA for the Vice President, Legal. The EA must be professional, innovative, self-motivated and able to juggle multiple tasks with careful attention to detail in this fast-paced environment. The EA must have the ability to interact with a variety of different types of audiences, and must be able to at times work independently with little to no supervision. The position will require the ability to use a high degree of tact and diplomacy in handling matters of that are critical or confidential in nature.

Responsibilities may include, but are not limited to:

  • Provide docket management and coordinate correspondence for the intellectual property team within the Legal department.

  • Process inventor incentive awards, including monetary awards and recognition awards.

  • Provide administrative support to Legal department members. Answer telephones, respond to routine inquiries, and deliver messages to department members.

  • Maintain calendars, arrange meetings and appointments. Maintain and track meeting action items through completion.

  • Coordinate, facilitate, and provide support for various conferences, meetings and events with a high degree of tact and diplomacy. Collaborate with IT to ensure the smooth use of teleconference, Webex, and Telepresence meetings and conference rooms. Handle the catering for meetings and events. Coordinate highly visible meetings and support guests during these meetings.

  • Perform general administrative duties, including but not limited to: typing, copying, preparing packages for delivery, maintaining appropriate inventory of office supplies, filing, record-keeping, and data entry.

  • Create presentations, memoranda and other documents as requested in PowerPoint , Excel, Microsoft Word and other applications as required.

  • Plan and coordinate travel through the travel coordinator. Manage travel arrangements, expense reporting, and procurement card reconciliation in a timely manner.

  • Manage purchase orders, check requests, and track outside counsel expenses.

Typical Education & Experience

Bachelor s degree and at least 3 years of EA experience or 7 years of EA experience in lieu of degree

Required Skills and Education

  • Bachelor s degree and at least 3 years of EA experience or 7 years of EA experience in lieu of degree

  • High level of proficiency in Microsoft Office applications: Outlook, Word, Excel, and PowerPoint

  • High level of familiarity and comfort with IT and telecommunications coordination

  • Experience in planning and coordinating domestic and international travel

  • Strong organizational skills, clear and concise communicator, and experience supporting multiple professionals

  • Certified professional secretary or certified administrative professional

  • Significant experience as an administrative assistant in a legal office or environment

  • Strong command of the Concur travel system, with experience processing complex travel claims from domestic and international trips

  • Currently commissioned as a Notary Public

  • Active Secret Clearance
