Job Description

As an Administrative Assistant in BAE Systems' Survivability, Targeting & Sensing (STS) Solutions Business Development and Sales organization, you will provide professional, customer-focused administrative support to a group of business development and sales professionals located in multiple locations worldwide. This position reports directly to the Director of Business Development for the STS business area and will perform a variety of complex administrative activities supporting day-to-day operations. She/he effectively interfaces with a variety of staff and functions, ranging from senior executives to support personnel, and works independently with little to no supervision.

The ideal candidate is high energy, professional, proactive, reliable, and organized. She/he exudes a strong work ethic, positive attitude, team-oriented mentality and protectively handles confidential personnel and financially sensitive information. Other duties include:

  • Schedule leadership and staff meetings and coordinating the ordering/delivery of business meals as required

  • Plan and coordinate travel, input travel costs into corporate expense reporting tool and help travelers resolve issues in a timely manner

  • Collect business status inputs from the group's leadership team and draft briefing packages for monthly meetings and other data calls

  • Coordinate incoming interview candidates, scheduling phone screens and on-site interview teams; coordinate office set-up, asset assignment, user accounts, and orientation for new hires;

  • Collaborate with IT to ensure smooth use of teleconference, WEBEX and Telepresence meetings, and support tracking and ordering of the group s laptop, desktop, and hardware needs in collaboration with IT.

Required Skills and Education

  • High level of proficiency with MS Office applications - Outlook, Word, PowerPoint, Excel, Onenote

  • Experience in planning and coordinating worldwide travel

  • High level of familiarity and comfort with IT and telecommunications coordination

Preferred Skills and Education

  • A strong command of the CONCUR travel system, with experience processing complex travel claims from international and domestic trips

  • Experience with online meeting/collaboration tools such as AT&T Connect on-line, Microsoft Lync, WEBEX and Telepresence
