Job Description

PURPOSE:

Provides administrative support directly to Vice Presidents and above, exercising confidentiality, tact and diplomacy. Duties may be administrative in nature or project based. Uses business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries. Maintains files, records, and calendars; typically arranges business travel, coordinates meeting arrangements, and tracks expenses.

SPECIFIC RESPONSIBILITIES:

Provides confidential services to Vice Presidents and above, which by nature of the position involves high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment. Performs a wide range of services for the executive, travel recommendations and reservations, maintaining executive's business and outside appointment on his/her calendar.

Plans and organizes work and develops procedures to meet business requirements. Screens visitors, make appointments, receive telephone calls, mail and other correspondence. Organizes and maintains confidential files and records, such as Human Resources information, security accounts, and other matters. Composes, signs, and releases routine but somewhat complex correspondence and compiles special reports, conducts special projects, and performs administrative duties as required.

Required Skills and Education

QUALIFICATIONS:

Requires an Associate's Degree or equivalent and a minimum of seven (7) years directly related experience; or a High School education plus one (1) year of specialized instruction and ten (10) years experience. Must be highly skilled in office automation tools. Requires a high degree of tact, initiative, accuracy, judgment and superior interpersonal skills, a thorough understanding of business practices and procedures and the ability to interface well with all levels of management.
